Business Communication

According to a GMAC survey, communication skills are the most sought-after skill in MBA hires, this is because management is about influencing action. The primary means for managers to influence actions is through written and oral communication, and so for a manager to be prepared to lead, He or She must study and practice communication skills.

Communication Planning, Writing in Business, and Presenting in business are skills that must be developed by every manager who intends to lead.

What then is Business Planning?

when planning your communication, the priority is to ensure that the listeners feel the emotions you want them to feel, you must make the readers see something.

we must ask ourselves, what is the end goal of what I want to say?

Do I intend for my audience to perform certain actions?

Or, do I intend to change their minds?

It is not enough to want your words to work or know the topic you want to talk about. The main purpose of business is the result.

A manager must properly plan communication- compose thoughts, analyze the situation, and organize the message often delivering better results.

There are different models of communication, which are either designed for an industry analysis or marketing plan development.

Why then should we use these Models for communication?

Remember the last time you and someone else miscommunicated. Maybe your chat message’s tone was misread by a friend. Perhaps you sent an email that was spam.

You communicate in countless ways every day, some of which are successful and others are not. Current models and theories explain why some communication decisions are more effective than others and aid in the planning of effective communication.

As managers, understanding communication models in the workplace enables you to make better judgments, which enables you to be a more effective communicator.

A good learner is a successful and effective communicator.

The understanding acquired by considering the purpose and audience can be used to improve the message, increasing its likelihood of being understood. Organizing our thoughts regarding the circumstance leads to a beneficial grasp of it when developing a significant message.

Even if they interact with audience members on a daily basis, effective communicators are aware that they may always learn more about them.

There are Three Questions used to analyze a Situation.

You need to know your;

  • why?
  • who?
  • how?

Why? Knowing Your Goal or purpose

Why is communication necessary in this circumstance? To determine your purpose—the result you hope to attain through communication—ask yourself, “Why?”

Managers usually communicate in business for one of two purposes: to impart information (to enlighten), or to persuade the audience to alter their viewpoint or take a particular action (to persuade).

Purpose for Informing

An aspect of reality is described or explained in informative communication. A description of an order entry procedure, for instance, or an explanation of how a chemical process generates an input for a product’s manufacturing are examples of informative communication. Communication that is informative may both describe and explain.

The Purpose of Persuasion

The art of persuasion is the use of language to influence a listener to think, feel, or act in the communicator’s desired manner.

Who? Understanding Your Audience

The audience is the focus of communication, not the communicator.

Consider the audience after you have defined the goal of your communication. Your defined purpose will be easier to achieve if you have a clear understanding of your audience.

You don’t need or want to be completely aware of the recipients of the communication. You just want information that will enable you to accomplish your goals.

How? Selection of a Channel

There has never been this many options for communication. The abundance of possibilities is a benefit for connecting everyone inside a company over great distances and for opening up chances for the quick transmission of knowledge and activities like mentoring, invention, and cooperation.

Choosing a channel is probably something you don’t think about very often. You respond by email to someone who emails you. You answer a call, and you converse with the caller.

But channel choice can still come up in these typical situations.
